Background:
A large, enterprise technology organization was struggling with inefficiencies in its IT asset and procurement lifecycle management. Without a streamlined system to track procurement requests, teams were forced to manually reconcile internal ticket numbers with corresponding purchasing requests just to follow the status trail—wasting time and creating opportunities for errors. Solution:
To help our client gain greater visibility and control over its technology lifecycle, KNZ
provided access to a customer portal—a robust platform that centralizes critical
lifecycle data such as inventory, product location, serial numbers, subscription
start and end dates, order and shipping statuses, and tracking information.
Going beyond standard offerings, KNZ enhanced the portal with a custom item catalog
that included pre-negotiated SKUs with the ability to request quotes or place orders
directly online. The portal also featured proactive alerts for OEM end-of-sale and
end-of-life announcements, helping the client stay ahead of technology refresh
cycles. For unlisted items, users could easily submit quote requests through a built-in
product request form—streamlining procurement and eliminating delays.
Outcome:
Our client achieved a dramatic reduction in procurement complexity—streamlining
a previously time-consuming 10-step process down to just 3 steps. Internal ticket
numbers are now automatically referenced and tracked throughout the process,
eliminating manual cross-referencing and accelerating approval cycles.
A newly implemented, centralized dashboard gives stakeholders real-time visibility into
procurement requests, task ownership, and status updates, empowering teams to
move faster with greater confidence. Additionally, through KNZ’s deep ecosystem of
partners, we now negotiate directly on the client’s behalf for new software requests
submitted via our custom-built intake form—expediting vendor engagement and
ensuring competitive pricing.
These enhancements have not only increased operational efficiency but also created a more agile, transparent, and cost-effective procurement experience.
